Terms of service

In one line. We provide the ordering software; you run the café. We never handle your money, your data stays yours, and either of us can end this with notice.
1. What Pixercise provides
Software that lets your customers order from their table by scanning a QR code, shows those orders to your staff and kitchen, and lets you manage your menu, tables, staff and QR codes.
Pixercise is not a point-of-sale system and does not process payments. Marking a table closed in Pixercise records that the party has finished — it is not a record that anything has been paid. Your own till remains the authority on money, and you should not use Pixercise as an accounting or tax record.
2. Accounts and access
Cafés are set up by us rather than by open self-service signup. Once your café exists, you control who has access and what role they hold.
You are responsible for:
- keeping your own sign-in credentials private;
- who you invite, what role you give them, and removing access when someone leaves;
- the devices you use, including revoking a kitchen device if one is lost or stolen — the product gives you a control for this.
3. Your content
Your menu, prices, café details and order history are yours. We do not sell them, and we do not use them to train anything.
You are responsible for the accuracy of what you publish — prices, descriptions, allergen information and anything else a customer relies on. Pixercise displays what you enter and cannot check whether it is correct.
4. Acceptable use
Please do not:
- use Pixercise for anything illegal, or to sell anything you may not lawfully sell;
- attempt to reach another café’s data, or to test our defences without asking us first;
- resell or rebadge the service as your own product without a written agreement.
If a café is being used abusively, or an account appears compromised, we may suspend it. Suspension stops new orders; it does not delete anything. We will tell you why.
5. Availability
We do not offer a service-level guarantee. Pixercise is early, we are honest about that, and we would rather say so than publish an uptime number we have not earned.
Pixercise needs a working internet connection at your café. If your connection drops, customers cannot place orders and your kitchen screen will say it has lost contact. Your till is unaffected, and your staff can take orders as they did before.
We back up daily and have tested restoring from those backups. We will give notice of planned work that affects service where we reasonably can.
6. Pricing
Any fee, and when it starts, is agreed with you directly and in writing before it applies. There is no charge you have not been told about, and we do not take a percentage of your sales — we never see them.
7. Ending it
You can stop using Pixercise at any time; tell us and we will archive your café. We can end the service with reasonable notice, except where suspension for abuse or a security problem needs to be immediate.
When a café is archived its QR codes stop taking orders and its data is retained rather than destroyed, so it can be reactivated or exported. If you want it deleted, ask, and we will tell you exactly what is removed.
8. Liability
We provide Pixercise as it is, and to the extent the law allows we are not liable for lost profit, lost custom or indirect losses arising from using it. Nothing here limits liability that cannot lawfully be limited.
Because we do not process payments, we are not a party to any transaction between you and your customers.
9. Changes
If these terms change materially we will update the date above and tell café owners by email before the change takes effect.
